Documentation health

Find the gaps before an audit, handover, or incident does.

Use this checklist to assess whether building documentation is searchable, current, and audit-ready — without starting a migration project.

The 10-minute check

Documentation health

Coverage

  • Does every building have a complete register of O&M, fire, electrical, HVAC, lease, and handover files?
  • Are missing documents tracked as gaps rather than stored in someone’s head?
  • Can you see which buildings lack critical document types?

Validity

  • Are expired certificates, inspections, and reports flagged automatically?
  • Do documents have clear dates, versions, and owners?
  • Are duplicates and stale versions removed from operational folders?

Findability

  • Can operations teams find the right document on mobile without knowing the folder structure?
  • Does search return sourced answers, not just filenames?
  • Are naming and metadata understandable across teams and suppliers?

Audit readiness

  • Can you export evidence for audits, transactions, or insurance questions in minutes?
  • Is fire and compliance documentation attached to the right building and system?
  • Do you have a prioritized list of gaps to close first?

If two or more answers are no, there is likely hidden documentation risk.

Findable can analyze existing folders, identify gaps, and provide sourced answers across the portfolio — without moving everything first.
