Smarter checklists: template library, grouping, and ranked document suggestions

Over the summer we focused on making checklists faster to set up and easier to run as a team, while sharpening how the platform suggests the right documents. Here is what shipped.

Checklists built for real work

We rebuilt the checklist experience around the way property and facility teams actually work.

• Checklist Library with ready-made templates, including Red Flag report templates, so you can start from a proven structure instead of a blank page.
• Grouped checklist items (for example "Fire Alarm" or "Ventilation") to keep long lists organised and easy to scan.
• Notes on checklist items to capture extra context where it belongs.
• A redesigned checklist editor with custom labels, visual indicators for required steps, and clearer dropdown filters and selection menus.

Working together on checklists

We made it easier to share checklists and bring the right people in.

• Assign checklists to existing users, so responsibilities are clear from the start.
• Improved sharing with external users, making it simpler to involve partners and contractors.
• Export checklists to support team workflows outside the platform, plus better bulk upload and import of checklist items.

Finding the right documents

Document suggestions are now easier to trust and act on.

• Visual ranking of top matches in the Add Documents modal, so the most relevant documents are obvious at a glance.
• More accurate and relevant suggestions, reducing the time spent hunting for the correct file.
• AI-generated filenames in your own language, so documents are named in a way your team immediately understands.

Integrations and everyday polish

A focused set of refinements that make daily use smoother.

• Famac integration now supports mapping to the older standard, giving more teams a clean fit with their existing setup.
• Clearer error messages, fixes for deleted tasks still appearing in views, and resolved broken links and missing icons.
• Faster navigation and more reliable session handling, so you stay in flow and keep access without interruption.
